Your Discord user ID and username.
Your Roblox user ID and username.
Any other information you voluntarily provide while using our services.

2. Data Collection From Your Discord Server

When you invite our bot to your Discord server, we collect the following:

Server name and ID.
Server owner’s Discord username and ID.
Depending on the system you use, we may collect your server members' usernames and user IDs.

This data is necessary to maintain server-specific configurations and identify server ownership. Please note:

We do not have the ability to remotely access any server with our bot.

3. Data Collection From Your Members

We do not collect data from your members unless they directly interact with our bot. For example, when a user executes a command like /update, we retrieve their:

Discord user ID.
Roblox user ID and associated profile details (e.g., profile picture).

4. Server Configurations

When you configure Rova on your server (e.g., using /setup), we collect the following information:

Server ID and owner details.
Triggering user’s Discord ID and username.
Any other information given in the config or setup command.

This information is stored securely in our database and is used exclusively to provide services for your discord server.

If you choose to set a Roblox authentication cookie with Rova:

The cookie is securely encrypted and stored in a database, accessible only by our founder.

Use of Information

The information we collect is used to:

Logging of Actions

We log every command executed, including any changes made to configurations, setups, and permissions. This logging is essential for troubleshooting, improving our services, and ensuring the security and integrity of the systems we provide.

Important Note: For sensitive commands like /set-cookie, we do not log the full authentication cookie. Instead, we only store the associated Roblox username and user ID to verify identity and prevent misuse.

All logged data is stored securely and used strictly for internal purposes, such as error tracking, service optimization, and content moderation. This also includes viewing your server's configurations to prevent bugs, assist in resolving issues, and ensure that no inappropriate content (like offensive language) is submitted through custom setups (e.g., directory embed descriptions).

Additionally, we may track general bot usage metrics, including commands executed, buttons pressed, bot joins and leaves, errors triggered, messages sent, ranking actions, setup completions, created binds, configuration and permission changes, the number of linked accounts, and user joins or leaves within the last 24 hours.

All tracked data is anonymized and stored only as numerical counts. It is automatically deleted after 24 hours and never tied to specific users, except in rare cases where required for moderation or abuse prevention.

Public stats may include totals for commands run, buttons pressed, bot joins and leaves, errors, and linked account counts. Other internal metrics are used solely to improve the performance and functionality of our bots.

We do not share your personal information with third parties, except in the following cases:

Legal Compliance: To comply with legal requirements, enforce our policies, or protect the rights, property, or safety of Rova Studios, our users, or others.
External APIs: We utilize external APIs, such as Discord, Roblox and Bloxlink, to deliver our services. These platforms may have their own privacy policies.

Your Choices

You can choose not to provide certain information or not to invite our bot to your server. However, this may result in limited functionality or prevent our systems from working as intended.

Data Retention

When the Bot is Removed: All server-specific configurations are deleted when the bot is removed from your server.

Ranking History Deletion

Users may request the deletion of any ranking history in which they were the recipient of a rank change. This includes personal data such as Roblox user ID, username, old rank, new rank, and reason for the change. However, records identifying the user who performed the ranking action are retained for accountability and system integrity. These moderation-related entries are considered operational data and are not subject to removal upon request, as they do not constitute personal data of the requester under applicable law.

Legal Recourse and Compliance with German Law

As Rova Studios is operated and managed from Germany, all services, legal relationships, and disputes arising from or related to the use of our platform are governed exclusively by the laws of the Federal Republic of Germany. This includes, but is not limited to, provisions set forth in the German Civil Code (Bürgerliches Gesetzbuch – BGB), the German Criminal Code (Strafgesetzbuch – StGB), the German Trademark Act (MarkenG), the German Copyright Act (UrhG), the German Federal Data Protection Act (Bundesdatenschutzgesetz – BDSG), as well as the applicable regulations of the General Data Protection Regulation (GDPR).

By using our services or engaging in any actions that affect Rova Studios, you expressly agree to be bound by these legal frameworks, regardless of your country of residence.

By adding the Rova bot or any other bots from Rova Studios to your Discord server, executing any commands, or interacting with the bot in any manner, you explicitly accept and agree to the terms and conditions set forth in this Privacy Policy. This includes the collection, processing, and storage of data as outlined, as well as your acknowledgment of our data retention practices, security measures, and the rights you have regarding your personal data.

You also agree to abide by the terms of service and any updates to this Privacy Policy. If you do not agree with these terms, you should refrain from adding the bot to your server or using any of its features.
