📌 Before You Start

Before diving in, make sure the following points are checked to ensure everything runs smoothly:

  • The bot has permission to send messages and view the channel where you want the embed to appear.

  • You didn’t remove any required permissions when adding the bot to your server, missing permissions may cause certain features to fail.

  • The system only supports up to 10 roles per embed.

  • You must run the commands inside the server where the Directory System should be used, DMs won’t work.

  • If you delete the embed manually, you’ll need to set it up again using the command.

  • If you want to update the embeds title or description, you’ll need to set it up again using the command.

Once everything is set, you’re ready to jump into the setup!

📋 Quick Start

Follow the steps below to get started quickly with the Directory System. This guide keeps things simple, if you're looking for a detailed breakdown of every option and command, head over to the full documentation section.

1

Create a Channel

If you didn’t do it already, create a channel for your directory embed to be sent to, make sure the bot has permissions to view and send messages to that channel.

2

Create the Embed

In order to create the embed, run /setup directory. You’ll find several options in the command. For a good structure of your embed, we suggest you do the following:

  • Status

    • Set the status to "Activate", so the embed actually updates.

  • Channel

    • Select the channel where you want the embed to be sent.

  • Member Display Limit

    • This option lets you define how many members should be shown for each role. Choose a number between 1 and 10, we suggest 10.

  • Include All Roles

    • Set to True if you want members listed in all roles. Set to False if you want members only listed under their highest priority role. We recommend False.

  • Embed Title

    • Enter a title for the embed. We suggest "Directory".

  • Embed Description

    • Add a short description. Something like "View all our staff members in this embed, down below." works great.

  • Embed Thumbnail

    • Choose from 3 options:

      • None – no thumbnail will be shown.

      • %server-icon% – uses the server icon (if there's no icon, the Rova icon will be used).

      • Custom – paste a link to a Discord image to use as your own thumbnail.

3

Add Roles to the Embed

To add roles to the embed, run /directory add-role. You’ll see several options in the command. Since every server is different, we can’t give specific suggestions here, customize it based on your needs.

Once you’ve selected a role, choose an emoji. This can be a standard Discord emoji or a custom one. For the description, enter a short summary of the role. Then set the priority, which determines how high the role appears in the embed. You can choose a number between 1 and 255. The higher the number, the higher the role will be listed.

4

Update Embed

Once everything is set up, press the "Update Embed" button on the directory embed you created earlier. This will apply all your changes and refresh the embed.
